Use spam filter settings
While junk email might be worth a laugh or two, it's not funny when it overruns your Inbox. You can use Workspace Webmail's features for spam management to prevent unsolicited junk email from clogging up your Inbox.
Setting Up Spam Filters
Managing how you receive your spam is simple to set up and control.
To Set Up Spam Filters
- Log in to Workspace Webmail.
- From the Settings menu, select Spam Settings.
- From the Spam filtering section, select one of the following:
- Turn off filtering — No action applies to suspected spam. It delivers to your Inbox.
- Move to Bulk Mail — (Recommended) Suspected spam delivers to your Bulk Mail folder. You can review it at your convenience.
- Mark subject with [SPAM] — Suspected spam delivers to your Inbox with [SPAM] in the subject line.
- Restricted mode — All mail delivers to your Bulk Mail folder, unless the sender is on your Allowed List.
- From the When I mark messages as spam section, select one of the following actions:
- Ask me what to do — When you mark messages as spam, Workspace Webmail asks you if all the messages from the sender need to be placed in the Bulk Mail folder, or just the selected messages.
- Mark all messages from that sender in that folder — All the messages you selected from that sender will be marked as spam and moved to the Bulk Mail folder.
- Mark only selected messages — Only the messages you selected go to the Bulk Mail folder.
- Click OK.
Marking Emails as Spam
When you mark an email as spam, Workspace Webmail applies the action you selected when you set up spam filters.
To Mark Email as Spam
- Log in to Workspace Webmail.
- Open or select the email.
- From the More Actions menu select This is Spam.
- Click Apply.
To Mark Email as Not Spam
Marking an email as not being spam automatically adds that address to your Allowed List, handling future emails from that sender as regular mail.
- Log in to Workspace Webmail.
- From the Bulk Mail folder open or select the email.
- From the More Actions menu select This is Not Spam.
- Click Apply.
Setting Up Auto Purge in Bulk Mail
Automatically purging email addresses (example@coolexample.com) or domain names (coolexample.com) immediately purges all emails from those email addresses or domains, so you never see them.
To Set Up Auto Purge
- Log in to Workspace Webmail.
- From the Bulk Mail folder, select the email to purge.
- Click on the Auto Purge icon.
- Choose whether to purge emails by senders or by domains, and then click OK.
Warning: Because emails from auto-purged senders aren't delivered, they can't be recovered.
Setting Up Allowed and Blocked Senders
Blocking email addresses (example@coolexample.com) or domain names (coolexample.com) treats emails from those email addresses or domains as spam, and then filters them based on your spam settings.
Allowing email addresses or domain names never marks email from them as spam. If you select Restricted Mode when you set up spam filters, senders must be on your Allowed List for their emails to deliver to your Inbox.
To Set Up Allowed and Blocked Senders
- Log in to Workspace Webmail.
- From the Settings menu, select Message Filters.
- Select one of the following options:
- Custom Filters — Message filtering allows you to send specific messages to appropriate folders that you have set up.
- Allowed List — Allowing email addresses (example@coolexample.com) or a domain name (coolexample.com) never marks email from them as spam.
- Blocked List — Blocking email addresses (example@coolexample.com) or a domain name (coolexample.com) treats emails from those email addresses or domains as spam, and filters them based on your spam settings.
- Auto Purge List — Purging email addresses (example@coolexample.com) or domain names (coolexample.com) immediately purges all emails from those email addresses or domains, so you never see them.
- Click Add New, and then OK when you are finished.
To remove email addresses or domains from the Allowed, Blocked, or Auto Purge list tab, select it, and then click Delete.
